◆AI consulting · Ventura County

AI consulting for small businesses in Ventura County.

Not a strategy deck. A working session with the person who will build the thing, a short list of what to automate first, what to leave alone, and a fixed price for each step. That is what AI consulting means at Withn.

HQ Westlake Village, CA · Serving all of Ventura County · Updated October 2026

Most owners we meet in Ventura County have already been pitched AI three times. What they have not had is someone sit down at the front desk, look at the inbox and the weekly admin, and say which two or three things are worth doing this quarter and which are not. That is the consulting we do. It is short, specific and ends in a plan with numbers.

Because we also build and integrate, the advice is not theoretical. We only recommend what we would be willing to build at a fixed price. If the honest answer is that your operation does not need AI yet, you hear that on the first call.

◆What is included

What a consulting engagement includes.

The consulting engagement is designed to end in action, not a document nobody reads.

  • 01A free 30-minute discovery call to hear how the business actually runs
  • 02A working session at your office, ours in Westlake Village, or on video, walking the real workflows
  • 03An inventory of the tools, phone lines, forms and documents in play today
  • 04A ranked list of where AI pays off first: phones, intake, follow-up, documents, reporting
  • 05A plain explanation of what to leave alone and why
  • 06A scoped plan for the first system with a fixed price and timeline
  • 07Vendor and tool recommendations you can act on without us, if you prefer
  • 08A written summary you can hand to a partner, a manager or your bookkeeper
◆How it works

Four steps, no drama.

  1. 01

    Discovery call

Thirty minutes, free. You walk us through how the office runs today: phones, intake, follow-up, paperwork, reporting. We tell you plainly where AI fits and where it does not.

  2. 02

    Working session and scope

A short session at your office, ours in Westlake Village, or on a call. We look at the actual tools and the actual volume, pick the first system, and give you a fixed price and a timeline.

  3. 03

    Build on your existing tools

We connect to the CRM, calendar, phone system and software you already pay for. No rip and replace. You see working software early and sign off on each step.

  4. 04

    Launch, train, support

We go live, train the people who will use it, hand over documentation, and stay on for monitoring and tuning. If something drifts, we see it and fix it.

◆Tools we integrate

Built on what you already pay for.

Consulting only makes sense if the recommendations fit the tools you already run. These are the ones we know well enough to be specific about.

  • Google Workspace
  • Microsoft 365
  • HubSpot
  • Salesforce
  • QuickBooks
  • Clio
  • Dentrix
  • Open Dental
  • Twilio
  • Zapier
  • n8n
  • Slack
  • Stripe
  • Calendly
◆Who this is for

Owner-run businesses, 3 to 50 people.

Owners of 3 to 50 person businesses who want a straight answer on AI from someone who builds it, not a sales call from a reseller.

  • Professional services firms: CPA, advisory, insurance, bookkeeping
  • Medical and dental practices with a busy front desk
  • Law offices deciding whether intake automation is worth it
  • Real estate brokerages and property management companies
  • Contractors and home services companies losing jobs to missed calls
  • Agriculture and logistics operations with paperwork-heavy workflows

We also take consulting-only engagements where another team does the build. The plan is yours either way.

◆Pricing

What it costs

The discovery call is free and the working session is priced as part of the first scoped system. Consulting-only engagements are fixed-priced after the call.

Free discovery call
$0

30 minutes. You describe how the office runs today, we tell you where AI fits and where it does not.

Focused setups
From $2,000

One well-defined system: an intake flow, a document pipeline, a CRM or calendar integration. Fixed price, built on your existing tools.

AI phone agent, done for you
$3,000 setup + $595/mo

We build it, connect it to your calendar and CRM, test it on your real call types and support it. Self-serve is $595/mo with 500 minutes included.

Custom work
Fixed price after discovery

Larger integrations and custom systems are scoped after the call and a short working session. You see the number before any build starts.

◆Questions

AI consulting, answered.

What does an AI consultant do for a small business?

A good AI consultant looks at how your business actually runs, identifies the two or three places where AI will save time or win revenue, tells you what to leave alone, and gives you a scoped plan with prices. At Withn the consultant is also the builder, so the plan is limited to things we would build at a fixed price.

What does AI consulting cost for a small business?

The first 30-minute discovery call is free. If we move to a working session and a scoped plan, that work is usually folded into the first system we build, which starts from $2,000 for a focused setup. Consulting-only engagements, where you take the plan elsewhere, are fixed-priced after the discovery call.

How is AI consulting different from AI integration?

Consulting is deciding. Integration is building. Consulting ends with a ranked plan, a first system scoped and a fixed price. Integration is the work of connecting that system to your phone line, CRM, calendar and documents. Most Ventura County clients do both with us, but you can stop after the plan.

Do I need an AI strategy before I start?

No. A business with 3 to 50 people needs a first project, not a strategy. The best first project is usually the one with the clearest cost today: missed calls, slow intake, follow-up that does not happen, paperwork that gets retyped. Start there, measure it, then pick the next one.

Will you tell me if AI is not the right answer?

Yes, on the first call. Some problems are a staffing issue, a pricing issue or a plain software issue, and AI would just add cost. We would rather say so and keep the relationship for when the fit is real.

◆The next step

Bring us the bottleneck. We will find the right way through.

One working session to understand the business, clarify where AI fits, and identify the most practical next move: strategy, a website or app, an agent, automation, or a custom integration.
